Graduation terms and conditions

Acceptance of terms

  • Please read these terms carefully as your registration, and/or purchase of guest tickets, for your Awards Ceremony constitutes your acceptance of these terms.

Registration and guest tickets

  • If you wish to attend your Awards Ceremony you are required to register your intention to graduate by the specified registration deadline date. Your attendance at the Awards Ceremony is free of charge, although there is a charge to purchase guest tickets.
  • If you have outstanding tuition fee debt with us, you will not be able to attend your Awards Ceremony until this has been settled. Please check outstanding debt with creditcontrol@uwe.ac.uk and allow a week for your debt to clear. You will then be able to register to attend your Awards Ceremony and purchase your guest tickets. If this is settled after the registration deadline then your Awards Ceremony will be deferred to the next ceremony season.
  • Guest tickets cost £15 each. You need to register your intention and purchase your two guaranteed guest tickets, on or before the registration deadline. We are unable to guarantee guest tickets if you do not purchase them before this registration deadline. Guest tickets can be purchased through our online store. Guest ticket seating is allocated in sequence of when you registered and purchased your tickets, so it is beneficial to you to register and book your guest tickets at your earliest convenience. If you choose to book additional tickets once these are released, this may affect this seating allocation. Please note: additional accessible seats are allocated first.
  • Unallocated guest tickets will be released through our online store following the registration deadline. Guest ticket availability is not guaranteed for all the ceremonies. Guest tickets may be limited due to heightened demand and will be sold on a first-come, first-served basis until they have sold out or the UWE Bristol online store closes.
  • Should you complete your registration after the registration deadline we cannot guarantee that there will still be guest tickets available, so please ensure that you register your intention to attend before the registration deadline.
  • You will need to book and pay for your academic robe and photography separately with Ede and Ravenscroft. We do not accept any responsibility for the order you place with Ede and Ravenscroft. Please see the Ede and Ravenscroft website for booking details.
  • If you or your guests have any access needs and require support at the Awards Ceremony, please contact us as soon as possible by email at graduation@uwe.ac.uk so we can make the appropriate arrangements.
  • If you are unable to attend your Awards Ceremony, you may defer your attendance to the next ceremony season, depending on availability. Please confirm in writing to graduation@uwe.ac.uk that you wish to defer by the registration deadline of the current Awards Ceremony season and confirmation of your deferral will follow.
  • The Awards Ceremonies are long and formal occasions which small children may find difficult to sit through. Children under the age of three may attend without a guest ticket and will need to sit on the lap of one of your guests. Children over the age of three will require a guest ticket and will count towards your maximum ticket allocation.
  • Guest tickets will be available for collection on the day of your ceremony. You will need to bring copies of the email confirming your registration and purchase of guest ticket/s with you. If your guests arrive once the ceremony has started they will need to make their way to the north door entrance (main door) to collect their guest tickets – at this point, they will not be seated in their allocated seat but a seat nearest the door so not to disrupt the ceremony.

Cancellation and refund

  • If you have not met the eligibility criteria to have your award conferred we will refund your guest tickets after the Awards Ceremony season has taken place. We cannot accept any responsibility for any travel arrangement or any other costs incurred by you or your guests in this case.
  • You may cancel your registration and any guest tickets by email to graduation@uwe.ac.uk by the registration deadline. Refunds requested after the registration deadline will not be made, except in exceptional circumstances, as arrangements have already been made for the Awards Ceremony.
  • All guest tickets are non-transferrable to another Awards Ceremony or another person.

On the day

  • Awards Ceremonies are a formal occasion and you are expected to dress appropriately – no jeans or trainers. Most graduands will choose to wear full academic dress for the ceremony. Ede and Ravenscroft is our official gown and photography supplier.
  • All guests will need to be seated 15 minutes before the Awards Ceremony starts. We reserve the right to refuse entry or remove any graduand or guest where it appears to us in our sole discretion to be necessary for the good conduct of proceedings and/or the safety, health, and wellbeing of graduands, guests or staff.
  • Graduands must arrive at the venue in sufficient time to register, collect guest tickets and their academic robe. We recommend arriving two hours in advance of the start of the ceremony. Graduands must be seated on stage at least 15 minutes prior to the start of the ceremony.
  • All graduands who are attending the ceremonies must bring with them their booking confirmation and/or photo ID (student ID card). Proof of purchase is required by all graduands in order to collect their guest tickets and academic robe. Please note that only the graduand can collect guest tickets and robe.

Data protection

  • By registering for an Awards Ceremony you are giving your consent to us publishing your full name (as it appears in our student record system) and award title in the programme and on graduation memorabilia. If you do not wish your information to be used in this way, you must notify us by email to graduation@uwe.ac.uk on or before the registration deadline.

Use of images

  • All ceremonies will be filmed and a photographer may be present. The ceremonies will be live streamed so guests who are unable to attend can watch this live on the day. By registering for the ceremonies, you are giving your consent to the recording and transmission of images (both still and moving) of you and your guests. We retain all rights in any images, which may be used for publicity purposes. DVDs of the ceremonies are available for purchase following the ceremonies.

Force Majeure

  • If the Awards Ceremony cannot take place or is delayed due to circumstances beyond the control of UWE Bristol, including (without limitation) fire, explosion, terrorist act (or threat of terrorist act), act of God, pandemic, or as a result of any industrial action or dispute involving UWE Bristol, or the venue at which the awards ceremony is due to be held, UWE Bristol will not be liable for any losses direct or otherwise incurred by the graduands or their guests.
